All Stampex 2022 stand holders need to complete the booking form below which includes your stand hire contract. Please read all information carefully.

Table Top Blocks come with chairs and trestle tables and table cloths as per the floor plan.

Standard Stands come with shell scheme and glass counters as per the floor plan. Tables and chairs are included in your stand hire price, but YOU MUST INFORM US HOW MANY 6ft TABLES/ 4ft TABLES AND CHAIRS YOU NEED. If you do not fill in this information into the form below, we will not order this furniture for you.

You must inform us of all of your stand extras including any tables of chairs you require inside your stand even if these are FOC.
Any chargeable extras will be added to your invoice.

Please note that the payment schedule for stand hire is as follows:
- To confirm your stand, a deposit of 30% of stand hire cost is to be paid within 14 days of invoice receipt. If the deposit is not paid on time, your requested stand/table block will be released for general sale.
- Your remaining 70% balance is due by the 15th August. You may pay this in weekly or monthly installments or in any other installment amount that suits you provided your full invoice is paid by the 15th August.

Stands: Your Stand comes with glass counter fronts as standard. Please advise if you do not require all of the glass counters provided e.g. if you plan to have an open plan area/table frontage.

This year, we are providing a dedicated show wide WIFI zone for stand holders, included in your hire price. This zone should be suitable for most moderate transactions such as checking mails, taking credit card payments and uploading to social media. If you require you own internet connection (e.g. for live streaming), please provide us with details so that we can find the best quote for you.

Please state how many plug sockets you would like us to order for you. (Single 500W =£135+VAT, Twin 1000W (500W each) =£195+VAT)

It is up to the stand holder to obtain appropriate insurance (for stock value, public liability and other aspect relevant to specific business practices) for all areas of responsibility including chair and stool space. The Philatelic Traders' Society Limited accept no liability for stand holders' misfortunes. Stand Holders are reminded that insurance may be purchased to cover non-attendance due to unforeseen circumstances. All vehicles, goods, equipment and alike are brought into The Business Design Centre at your own risk. By ticking this box you are confirming that you will have the adequate insurance cover for your property during the show period, which includes set up day on the 26th September 2023.

For stand hire cancellations on or before the 15th August, your 30% deposit will be retained. For cancellations of stand hire after the 15th August, full stand rental and any invoiced extras will be retained. In the case of a stand cancellations after the 15th August, where the stand in question is resold, the PTS may refund a higher % of the remaining invoice balance at its discretion. By ticking this box, you accept the cancellation policy outlined above.

By ticking this box, you are confirming that any areas of risk associated with your stand have been assessed and that necessary actions have been taken to avoid a risk being realised. By ticking the box, you are also confirming that any areas of risk that you have identified have been shared with The Philatelic Traders Society Limited at the time of contract and that you agree to sharing any new risks identified with The Philatelic Traders Society Limited in a timely manner, no later than the 31st August 2023. The Philatelic Traders Society Limited reserve the right to decline your application for a stand should any risks be deemed unacceptable.

On the final day of the Exhibition, under no circumstances may stand holders remove any part of their display, stand fitting, or any stock held or commence any break-down whatsoever before the official announcement has been made informing Stand Holders that the Exhibition is closed. This announcement will be made at 16.00 hours on Saturday at which time breakdown may commence. A penalty charge of £250+VAT may be levied if stand holders do not comply with this condition. Any member seen packing away (this includes removal of branding, posters and boxing up stock) will be fined and will not be guaranteed their same stand/space location in 2024. By ticking this box, you agree to this set up and breakdown schedule, the hours you are required to be present at your stand, and the rules regarding breakdown.
